Enhancing Your MeetMe Audio Conference with Online Tools

MeetMe is audio conferencing with an exciting, easy-to-use visual dimension.

Enhancing your audio conference with BT MeetMe's Online Tools allows you to enter a virtual meeting room through any standard web browser. Once inside, you are able to view icons representing each participant in the conference, giving you an instant sense of attendance.

In addition, entering the virtual meeting room gives you one-click access to commands you can use to control and customize your MeetMe conferences. (However, remember you always have the option of holding an audio-only conference.)


Activating MeetMe's Online Tools

The following instructions take you through the steps you need to take to activate BT MeetMe's optional Online Tools:

Link the audio and online portions

  • Key in # eight on your telephone keypad
  • Enter the six-digit token that appears on your screen

Meet

The audio and online portions of your conference are now linked, and the virtual meeting room (below) will appear on your screen. Read through the instructions below to learn about the commands and information available to you in the virtual meeting room.


View your conference

BT MeetMe's Online Tools gives a chairperson full visual control of their conference, with easily seen icons depicting each participant's name, role, and status. This visual representation provides an instant sense of attendance and participation.

Gavel: indicates the conference chairperson
Microphone: allows the chairperson to mute a participant's line or for participants to mute their own line.
Speaker: allows the chairperson to mute a participant's ability to hear the conference or for a participant to mute their own ability to hear the conference.
Gray icon: indicates that a participant is only on the audio portion of the conference.
Group icon: indicates that multiple people are present over a single connection.
Dial-out icon: indicates that the chairperson is dialing out to join another participant to your meeting or to talk to an operator.

Control your conference

With Online Tools, the chairperson can control all aspects of the conference:

Manage participants: By clicking on a participant icon and opening the participant control window, you can change names, mute/unmute participants' microphones or speakers, or eject a participant from the conference

Play roll-call # one Plays a roll call of all conference participants
Stop message * 2 Stops the playing of a roll call
Mute/Unmute all * five Enables chairperson to mute the lines of all participants
Lock/Unlock Conference * seven Prevents new participants from joining the conference
Call operator * zero Provides easy access to operator assistance
End conference # # Ends the conference and disconnects all participants from the meeting

Customize your account

The following conference options can be controlled using customization within Online Tools.

  • Conference start - set how your conferences will begin
    • Music awaiting chair holds all participants until a chairperson joins the conference.
    • Interactive allows anyone who dials-in and enters the participant passcode to conference immediately.
  • Entry announcements - determine how new participants will be announced when entering a conference
    • Personal uses each individual recorded name to announce people into a conference and is unavailable if name recording is set to "OFF"
    • System alerts the conference that a new participant has joined by playing two short tones
    • Tone alerts the conference that a new participant has joined by playing a short tone
    • None disables the new participant alert within the conference
  • Exit Announcements - determines how remaining participants will be alerted that another participant has left the conference.
    • Personal uses each individual name recording to announce a participant's exit from a conference and is unavailable if name recording is set to "Off"
    • System signals a participant's departure by playing two short tones
    • Tone signals a participant's departure by playing a short tone
    • None disables the participant exit alert within the conference
  • Name recording - As part of the joining process, all participants can be prompted to record their names.
  • Chair hang-up - determines when the conference will end. If set to "On" then the conference will end when the chairperson disconnects. If set to "Off", the conferences ends when the last person disconnects.
  • Allow chair dial-out - when this feature is set to "On," once in a conference the chairperson has the ability to dial-out and invite other participants.
  • Allow mute-all - when this feature is set to "On" any participant has the ability to mute all other participants through the Online Tools.
  • Prompt for Customer Reference - when this feature is set to "On," the chairperson will be prompted to input a client billing code after he/she has entered the chairperson passcode. This billing code will then appear as a reference number for this conference on the invoice.
  • Current Customer Reference - if an alphanumeric client billing code is required then it can be entered in this space. It will appear on the invoice in exactly the same way as a client billing code entered via the touch tone functionality. If both codes are entered, the one entered last will take precedence.
  • Conference Summary Email/Send to Email Address - when this feature is set to "On," the chairperson will receive an email summary of the conference call. Email summaries will continue to be sent for every call until the feature is turned off. The summary provides information on the number of participants, the date and time of the meeting, and whether dial-out was used. The summary email is NOT a billing record.
  • Send to Email Address - specify the email address the Summary Email will be sent to.
