Using Productivity Tools (PT)

What are Productivity Tools?

If your WebEx site administrator has enabled it, Productivity Tools are installed automatically. The installation begins when you log into your site with your host account information. If your site administrator has not enabled automatic installation, follow the instructions below for Downloading Productivity Tools.

Once installed, Productivity Tools enable you to start meetings instantly from the Productivity Tools panel or from other applications on your desktop, such as Microsoft Office and Outlook, IBM Lotus Notes, Web browsers and instant messaging applications.

You can log in and set options for your WebEx account, set meeting options for instant meetings and scheduled meetings, set preferences for the One-Click panel, and select which Productivity Tools you will use with WebEx.

Downloading Productivity Tools

  1. Log in to your WebEx service site.
  2. Click Support > Downloads in the left-hand menu. The Downloads page appears.
  3. Select a Windows or Mac version of Productivity Tools.
  4. Click Download. Your browser's file download message appears.
  5. In the "Open File" dialog, click Run.
  6. The installation Wizard begins, click on Next button.
  7. Click on Accept Terms and Conditions and click Next.
  8. Do not change the installation file location, so click on Next.
  9. Click Finish to complete the installation. The WebEx Productivity Tools dialog appears.
  10. Enter your Site URL, User Name and Password, then click Login. The "WebEx Productivity Tools are installed" page appears.
  11. Click OK to close the page.
  12. Restart your Office suite or any single Office program if opened.

Configuring Productivity Tools

From WebEx Settings, you can verify your account information, specify which programs use Productivity Tools, select preferences for instant and scheduled meetings, and choose Meet Now settings. You can access WebEx Settings from most programs in which Productivity Tools were installed.

To change WebEx Settings:

  1. Select Edit WebEx Settings on the Cisco WebEx "Meet Now" panel.

    Note: If the panel is not visible, right-click the WebEx "Meet Now" icon in the system tray, then select WebEx Settings. The WebEx Settings dialog appears.

  2. Verify your WebEx site URL and user name, enter your password, then click Apply.

  3. Select the appropriate tab to configure your WebEx Settings.
    • Account: Your WebEx Account information is automatically configured during installation. Use this tab to log in, or to change your WebEx site URL, host account user name, password, language or location.
    • "Meet Now" Settings: These options affect meetings started instantly from the Meet Now panel, Microsoft Office and Outlook, IBM Lotus Notes, Web browsers and instant messaging applications.
    • Scheduled Meetings: These settings affect meetings you schedule with Microsoft Outlook or IBM Lotus Notes.
    • Preferences: This tab enables you to specify the behavior of the Meet Now panel, and select options that will be available when the panel is displayed. It also lists your default address book (Microsoft Outlook or Lotus Notes) for scheduled meetings.
    • Tools: On this tab you can select which programs will include WebEx integrations and shortcuts. By default, all programs installed on your computer will have Productivity Tools installed.
  4. Make your changes, then choose one of the following options:
    • Click Apply to save your changes and keep the WebEx Settings dialog open.
    • Click OK to save your changes and close the WebEx Settings dialog.
    The "Communicating with server" message is displayed while your settings are being updated.

Configuring Meet Now settings

If you decide not to install Productivity Tools, you can still use Meet Now from your WebEx services site. The web version of Meet Now requires separate setup.

To configure Meet Now settings (web version):

  1. Log in to your Meeting Center service site.
  2. Select My WebEx, then click Preferences in the left navigation menu. The Preferences page appears.
  3. Click "Meet Now" Settings. The settings page appears.

  4. Specify your Meeting Information and Audio Connection settings.
  5. Click Save to save your settings, or click Save and Start to save the settings and start a meeting.
    Note: You can also start a meeting from the home page of your WebEx site by clicking Host a Meeting > Meet Now in the left navigation panel.

Uninstalling Productivity Tools

You can easily uninstall Productivity Tools at any time.

To uninstall Productivity Tools:

  1. Click Start > All Programs > WebEx > Productivity Tools > Uninstall. A prompt asks you to confirm that you want to uninstall Productivity Tools.
  2. Click Yes to confirm. All Productivity Tools and shortcuts are removed from your computer.

You can also disable Productivity Tools in specific programs.

To selectively disable Productivity Tools:

  1. Select Edit WebEx Settings on the WebEx Productivity Tools panel.
    Note: If the panel is not visible, right-click the WebEx Productivity Tools icon in the system tray, then select WebEx Meetings. The "WebEx Settings" dialog appears.
  2. Verify your WebEx site URL and user name, enter your password, then click Apply.
  3. Click the Tools tab, then clear the check boxes for a program to remove Productivity Tools from that program.
  4. Make your changes, then choose one of the following options:
    • Click Apply to save your changes and keep the WebEx Settings dialog open.
    • Click OK to save your changes and close the WebEx Settings dialog.
    The "Communicating with server" message is displayed while your settings are being updated.
